How do I request a basic or enhanced criminal record check?

To request a criminal record check, please follow
the instructions below:

Step 1: Click here and log in with your email address and the password you created for your account.

Step 2: Select the + New File button located at the top right of your screen. 

Step 3: A menu will appear where you add the candidate's first & last name, email address and cell phone number.

Click CONTINUE to move to the next page.

 

 

Step 4:  Click the check box beside the criminal record check you would like to run. If you are unsure what each one entails, click the (?) icon to reveal further information.

You can also click Basic Criminal Record Check or Enhanced Criminal Record Check for an in depth description of the two and their differences.

 

 

Step 5: There are 3 identify verification methods, the first two being automated, while the third option relies on a manual process. Choose one of the following:

Facial Accreditation - Candidates  are prompted to take a selfie, and photo of their government issued identification (driver’s license, passport, etc.) A comparison of the two will determine if they are identical, and the ID will be scanned and compared with the details entered on the consent form. Candidates unable to undergo verification through this method are seamlessly redirected to the Manual Identity Verification (IDV) process.


Knowledge Based Accreditation
- This alternative verification method is also known as electronic identity verification (EID). Canadian credit bureaus provide personal questions via short questionnaire to verify candidates' identity. Candidates unable to undergo verification through this method are seamlessly redirected to the Manual Identity Verification (IDV) process.

Manual Identity Verification - To ensure a secure and accurate identification process, candidates are required to upload two government-issued identification documents. The file requestor then verifies the candidate's identity through a video call (e.g., Zoom, FaceTime) or in-person meeting. If the candidate has already spoken with the file requestor, the search requestor can also use that interaction to verify the candidate's identity.

Step 6: This is where you add the additional file information before submitting the check.

1) Search Reason - Select the reason you are requesting the background screening from the dropdown menu.

2) Search Due Date -This is the deadline for the candidate to action the criminal record check request that you sent. By default, the date is set to 1 month in advance. Their invitation to complete the request will expire after the date selected.

3) Reference - This field is Optional. The Reference field tags files into clusters. You may use any text that is relevant to this specific group of candidates.

4) Cost Centre - This field is optional. The Cost Centre field is used to attribute certain candidates to hiring campaigns, so that you may associate the cost of hiring a candidate to a particular cost centre.

5) Additional Requestor Name - This field is optional. This is the contact's name to be displayed to candidates if it differs from the requester's information.

6) Additional Requestor Email - This field is optional. This is the contact email to be shown to candidates if it differs from the requester's information.

Once you are finished, click CONTINUE.




Step 7: Review the information to ensure it's correct. If so, click the CONTINUE button at the bottom right to initiate the request.

If you need to make a change, click the PREVIOUS button to go back to previous pages.
